Tent vs Indoor Venue: Which Wedding Setup Is Right for You?

Wedding planning can be so stressful with all of the options you have to choose from and trying to decide on what would be the best fit for you and your special day. From trying to decide what colors to do, what kind of food to serve, what kind of music to have playing, and so much more.Â
One of the biggest decisions when it comes to wedding planning is trying to decide on where to have your wedding and if it should be an outside or indoor wedding. We thankfully have created a pros and cons list for you to see if a tent or indoor venue is best for you! Whatever way you end up deciding to go with your wedding, it’ll still be a day that you’ll remember for the rest of your life with the biggest smile on your face.Â
Â
Tent ProsÂ
Having a tent is always a good way to go, especially if you really want to have an outdoor wedding. Here at Just In Case Party Rentals we have multiple different tent sizes for you to choose from to fit the size of everyone you invited for your wedding.Â
- Creative FreedomÂ
By renting a tent you can have creative freedom on what you would like to do for your wedding. You can choose your floorplan and seating arrangements, if you want any special lighting, and if you want to add any other special event additions. We also just so happen to have tent lighting for your event, so you won’t have to worry about partying in the dark. Then for extra event additions we also have plenty of options for you to choose from to give you and your guests some extra entertainment for them to do throughout the night. We have mini golf, yard games, a photo booth, and so much more to help make this special day even more memorable.Â
- Good SceneryÂ
Having an outdoor wedding also means you get some pretty views to help make your gorgeous wedding even more aesthetically pleasing! For example, you and your guests can see the pretty sunset with a tent and that would also be a great photo opportunity for you and your wedding party to take advantage of.Â
- Flexible Guest CapacityÂ
While there is still a capacity on how many tables and chairs can all fit into a tent, you do have more leniency for this unlike being in an indoor venue where they cannot go over a certain number of people due to fire codes. So, if you want a big wedding, getting a tent would be the way to go. You could also get multiple tents and put them right next to each other so then no one has to be separated from one another or have to worry about not being under the tent at any certain point.Â
- Good LightingÂ
There’s nothing better than natural lighting that our very own mother nature creates for us! Which is why having a tent for your wedding means you never have to worry about a bad picture. If you are planning on having a special event photographer and videographer, you should also consider renting with us for that part of your wedding as well so then everything you need for your special day is all coming from one place instead of multiple different locations. This way you can keep track of everything easier and not have to worry about keeping track of all of the different businesses that’ll be contributing to your special day.Â
Â
Tent ConsÂ
There’s always a negative with a positive and there are some things that you should take note of when thinking of renting a tent. However, most of these cons have a solution, so it’s nothing too big to stress over.Â
- WeatherÂ
Even though you are under a covered area, weather is still a big contributing factor because then that means that there won’t be as much wiggle room for your guests to explore. But like we mentioned earlier, we have multiple different tent sizes, so deciding to rent a bigger one may be the better option to help with traffic flow. You may also run the risk of having any weather factors come into the tented area, but you can also just rent some tent sidewalls from us to help with that. The last thing you want is having you and your guests cold, wet, and miserable.Â
- May Need Some Extra Event NecessitiesÂ
Since you’re not hosting your wedding in an indoor venue that means you won’t have all of the items that an indoor venue usually comes with. For example, you may need restrooms, a bar, or tables and chairs. Well, it’s a good thing that you’re reading this blog on a party rental website because we have everything that an indoor venue has for you to have for your special day. It’ll also be coming all from one business so like we mentioned earlier you won’t have to do as much research trying to find all of the supplies you may need or have to worry about setting up all of the bigger items on your already very busy day.Â
- May Need Permits
Depending on where you are planning on having your wedding, you may need a permit in order to put up a tent. Thankfully, this isn’t something to stress too much about, but once you make the decision on where and how you’re hosting your wedding because it may take some time to actually obtain the permit and you don’t want to have to potentially have your wedding without a tent or get a ticket by not having a permit for this item.Â
Â
Indoor Venue
Depending on where you live and what your weather conditions are like in your area, having your wedding in an indoor venue may be the right route for you because then you don’t have to worry about any bad weather conditions at all at any point of the day. However, there are also more limitations with having an indoor venue because of businesses needing to follow certain rules and regulations.Â
Indoor Venue ProsÂ
- Includes Event EssentialsÂ
By having your wedding at an indoor venue you won’t have to worry about getting tables and chairs because event venues almost always have those. They’ll also have a restroom and a bar and whatever else that is on the bigger side of what is important to have at an event so that means less stress for you on needing to worry about spending more money on an already very expensive day.Â
- Weather ProtectionÂ
By having your wedding indoors that means you don’t have to worry about any bad weather or have a possible weather contingency plan, so that’s one less thing you have to worry about. This’ll be a big thing off your plate that you won’t have to worry about because we know that whenever there’s a big event that people are excited about, people are also always checking the weather basically every day hoping nothing changes or gets worse.Â
- Have a Fixed ScheduleÂ
By doing your event at an indoor venue, they normally have a schedule that they have to follow to make sure everything goes smoothly and according to plan on their end. This is a big thing to take into consideration because then you won’t have to worry about making sure everything is going right and nothing goes astray on your big day. Your wedding day should be a day full of bliss and partying with all of your friends and family, not you constantly making sure the schedule is happening the way you want it.Â
Â
Indoor Venue ConsÂ
- Decor LimitationsÂ
When you book an event in an indoor venue, you only have so much freedom to decorate and add special event additions to your wedding. You also only have so much space to add any activities that you may want at your wedding for you and your guests to do. At least for only having so much space, we can help with that because we also have activities for you and your guests to do that barely take up any space! For example, we have carnival games that are easy to put up and take down while also being small enough where no extra space is being taken up. Our photo booth is also a great thing to get that doesn’t take up any room either! We also have food concessions for your guests to munch on while they’re waiting for the main course to come out and those are super efficient for when it comes to having a limited amount of space.Â
- The More People, The More ExpensiveÂ
Most indoor venue spaces decide on how much to charge based on how many people you are planning on having. They can also decline to have you at their venue if you don’t have enough people, so if this still something you are interested in doing we would make sure to ask those kinds of questions because you don’t want to have the rug pulled out from under you or have your wedding cost more than you were originally expecting.Â
- Food and Drink PackagesÂ
Depending on where you are looking some places will make you get a food and drink package and that’s one of the most expensive things when it comes to planning a wedding. We would recommend getting some of your food options like for snacks/appetizers instead of having to rely on the venue entirely. You could rent our concession machines from us instead and that’ll instantly save you a good buck or two for at least part of the food.Â
- Less PrivacyÂ
Normally when you are doing an event at a certain venue, you don’t get to have the whole place to yourself and have to share the building with other people who are also throwing events. So that may mean having people accidentally walk into your wedding by mistake or having some of your wedding guests walk into the wrong event as well. There may also be some people who are simply just curious about what’s happening in the room next to them and want to take a looksie on what your event is. While this is normally something most people expect when doing an event at a specific venue, it sometimes isn’t preferred.Â
- Set Start and End TimesÂ
When having an event at an indoor venue that means you have to follow what the venue says on what time they are able to start, serve food, and end. While they do try their best to make sure to perform your requests they still have other events they have to tend to and employees they have to think of. So, if you want a wedding where you can be partying till late at night you may not be able to do that at some venues, so make sure to actually ask the venue manager what their hours are like so then you don’t have a random curve ball thrown at you.Â
Â
As you can see, there are many pros and cons that we listed and definitely more that we didn’t end up listing here for venue locations for weddings. We personally think having your wedding be an outdoor tent wedding would be the best option because you have the most freedom with many of the decisions that go into wedding planning as opposed to having to ask each time you have an idea for something you would like to have at your own wedding. Either way, whatever you end up choosing, your wedding will definitely be a great time for everyone and one of the happiest days of your life and that is all that matters.
